CH-ISE (Pty) Ltd ("CH-ISE", "we", "us", or "our") is committed to protecting your personal information in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA) and the Electronic Communications and Transactions Act 25 of 2002 (ECT Act).
This Privacy Policy explains how we collect, use, store, disclose, and protect your personal information when you visit ch-ise.co.za or submit information through our forms. Please read this policy carefully. By submitting your information through our website, you acknowledge that you have read and understood this policy.

2. Personal Information We Collect
We collect the following personal information directly from you when you use our website:
a) Contact & Booking Forms
- Full name
- Business email address
- Phone number (including country code)
- Company name and website
- Preferred call date
- Description of your current business challenge or timeline
b) Demo Form
- Full name, company name, job title, and business niche
- A brief summary of your role at your company
c) Digital Product Purchases
- Email address (used to deliver your purchased ebook)
- Payment information is processed by Paystack and is never stored on our servers
d) Usage Data (collected automatically)
- IP address, browser type and version
- Pages visited, time and date of visit, time spent on pages
- Device identifiers and operating system information
Usage data is collected via Google Analytics 4 (see section 6).
3. Lawful Basis for Processing
We process your personal information on the following lawful grounds under POPIA section 11:
- Consent (s.11(1)(a)): When you voluntarily complete and submit a form on our website, you consent to us processing the information you provide for the purposes stated in this policy.
- Contractual necessity (s.11(1)(b)): To take steps at your request prior to entering into a service agreement with CH-ISE.
- Legitimate interest (s.11(1)(f)): To follow up on your enquiry, assess whether we can assist your business, and communicate relevant service information — where our interest is balanced against your right to privacy.
- Legal obligation (s.11(1)(c)): Where we are required to retain or disclose information by law.
4. How We Use Your Personal Information
We use your personal information for the following specific purposes:
- To respond to your enquiry and determine whether we can assist your business.
- To schedule and conduct a discovery call at your requested date and time.
- To generate a personalised AI email demo (Demo Form only) using the details you provide.
- To deliver purchased digital products (ebooks) to the email address you provided at checkout.
- To follow up on your enquiry via email or phone, as you would reasonably expect when submitting a contact form to a service provider.
- To maintain our CRM records in HubSpot for business relationship management.
- To measure advertising effectiveness using the Meta Pixel for conversion tracking and campaign optimisation.
- To improve our website and services using aggregated, anonymised analytics data.
- To comply with legal obligations where required.
We do not use your personal information for unsolicited mass marketing, and we will not sell, rent, or trade your personal information to third parties for their own marketing purposes.
5. Direct Marketing and Follow-Up Communications
In terms of POPIA section 69, by submitting a contact or booking form on our website, you consent to CH-ISE contacting you by email or phone to follow up on your enquiry. This may include sending you information about our services that are relevant to your expressed interest.
You may opt out at any time by:
- Replying "unsubscribe" or "stop" to any email or message from us; or
- Sending a written request to dean@ch-ise.co.za.
We will process your opt-out request within 5 business days and will not contact you thereafter for marketing purposes.
6. Third-Party Service Providers (Operators)
We share your personal information with the following third-party operators who process data on our behalf. Each operator is contractually bound to process your data only on our instructions and to maintain appropriate security measures:
- Supabase Inc. — Database and backend infrastructure. Data is stored in servers located in Frankfurt, Germany (EU), subject to GDPR which provides adequate protection for the purposes of POPIA section 72.
- HubSpot, Inc. — Customer relationship management (CRM). HubSpot is headquartered in the United States and operates under the EU-US Data Privacy Framework and Standard Contractual Clauses. We use HubSpot solely for managing business enquiries.
- Google LLC — Google Analytics 4 (website usage analytics) and Google reCAPTCHA v3 (spam protection). Google processes data under its Privacy Policy and Standard Contractual Clauses. Analytics data is anonymised where possible.
- n8n GmbH / Render Services Inc. — Workflow automation used to process form submissions and generate AI demo content. Data is processed transiently and not stored long-term on these platforms.
- Cal.com — Meeting scheduling platform embedded on our booking page. Cal.com processes your name and email to schedule appointments. Refer to Cal.com's own Privacy Policy for their data practices.
- Paystack Payments South Africa (Pty) Ltd — Payment processing for digital product purchases. Paystack processes your payment information directly. CH-ISE does not receive or store your card details. Paystack is a PCI DSS Level 1 certified payment gateway. Refer to Paystack's Privacy Policy for their data practices.
- Meta Platforms, Inc. — We use the Meta Pixel on our website to measure the effectiveness of our advertising campaigns on Facebook and Instagram. The Meta Pixel collects data about your activity on our website (e.g. page views, form submissions) and sends it to Meta for ad targeting and conversion tracking. Meta processes this data under its own Privacy Policy and applicable data processing agreements.
7. Cross-Border Transfer of Personal Information
In terms of POPIA section 72, we transfer personal information outside South Africa to the service providers listed in section 6. We ensure that such transfers comply with POPIA by confirming one or more of the following conditions are met:
- The recipient country or organisation is subject to a law that provides an adequate level of protection (e.g. Supabase in Germany, subject to GDPR).
- The recipient has agreed to Standard Contractual Clauses or similar binding data protection obligations (e.g. HubSpot, Google).
- The transfer is necessary for the performance of the service you requested from us.
8. Cookies and Tracking Technologies
Our website uses the following cookies and tracking technologies:
- Essential cookies: Required for the website to function (e.g. theme preference). These are stored in your browser's local storage and do not transmit personal information to external parties.
- Analytics cookies (Google Analytics 4): These cookies collect information about how visitors use our website. Data is collected in aggregated, anonymised form where possible. By continuing to use our website, you consent to the use of these analytics cookies. You can opt out at any time by enabling "Do Not Track" in your browser or by using the Google Analytics Opt-out Browser Add-on.
- reCAPTCHA: Google reCAPTCHA v3 is used on our forms to detect automated (bot) submissions. It analyses browser behaviour and assigns a risk score. No additional personal data is collected beyond what is necessary for this security function.
- Meta Pixel: The Meta Pixel places cookies on your browser to track website activity for advertising measurement and optimisation on Facebook and Instagram. You can opt out of Meta's tracking via your Facebook Ad Settings or by using browser-based opt-out tools.
You may configure your browser to refuse cookies; however, some features of our website may not function correctly as a result.
9. Retention of Personal Information
We retain your personal information for the following periods:
- Contact and booking form submissions: 3 years from the date of submission, or the duration of any business relationship with you, whichever is longer.
- Demo form submissions: 12 months from the date of submission.
- Digital product purchase records: 5 years from the date of purchase for tax and accounting compliance.
- Website analytics data: 14 months (Google Analytics default retention period).
- CRM records (HubSpot): For the duration of our business relationship and up to 5 years thereafter for legitimate business record-keeping purposes.
After these periods, personal information will be securely deleted or anonymised unless we are required to retain it by law.
10. Your Rights Under POPIA
You have the following rights in respect of your personal information:
- Right to access (s.23): You may request confirmation of whether we hold your personal information and request a copy of it.
- Right to correction (s.24): You may request that we correct or update inaccurate or incomplete personal information.
- Right to deletion: You may request that we delete your personal information, subject to our legal obligations to retain certain records.
- Right to object (s.11(3)): You may object to the processing of your personal information on grounds relating to your particular situation, or object to use of your information for direct marketing at any time.
- Right to lodge a complaint: You have the right to lodge a complaint with the Information Regulator of South Africa (see section 12) if you believe your personal information rights have been violated.

11. Security of Your Personal Information
We implement appropriate technical and organisational measures to protect your personal information against unauthorised access, disclosure, alteration, or destruction. These measures include, but are not limited to:
- Encrypted data storage and transmission (HTTPS/TLS)
- Database-level Row Level Security policies with rate limiting
- Access controls limiting who can view submitted data
- Spam and bot protection via Google reCAPTCHA
While we strive to use commercially acceptable means to protect your personal information, no method of transmission over the Internet is 100% secure. In the event of a data breach that poses a risk to your rights, we will notify you and the Information Regulator as required by POPIA section 22.
12. Children's Personal Information
Our website and services are intended for businesses and individuals aged 18 years and older. In accordance with POPIA, we do not knowingly collect personal information from persons under the age of 18 without the consent of a competent person (as defined in POPIA section 1). If you believe a minor has submitted personal information through our website, please contact us immediately at dean@ch-ise.co.za and we will promptly delete it.

14. Links to Other Websites
Our website may contain links to third-party websites (including Cal.com, YouTube, and others). We are not responsible for the privacy practices of those sites and encourage you to review their respective privacy policies before providing any personal information.
15. Changes to this Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. We will post the updated policy on this page and update the "Last updated" date. Where changes are material, we will take reasonable steps to notify you (e.g. by email or a notice on our website) at least 30 days before they take effect. Continued use of our website after that date constitutes acceptance of the updated policy.
